What Trip Slate is for
Trip Slate is a production travel coordination service managed by Jackson Giles. It collects and organizes information needed to request, review, arrange, and document travel for authorized cast, crew, representatives, and production contacts.
Information handled
Depending on the travel request, Trip Slate may handle identity and contact details, department and position, travel dates and preferences, loyalty and seating information, hotel, rental car, car service, pet, housing, and international travel details, plus coordinator notes, approvals, and confirmations.
Only provide information requested for an authorized production travel purpose. Do not use Trip Slate to submit information about someone unless you are authorized to do so.
How information is used and shared
Information is used to prepare and manage production travel, generate travel documents and drafts, maintain production workbooks, and coordinate with authorized studio personnel and relevant travel vendors. Information is not sold for advertising.
Google services
Trip Slate uses Google Maps Platform for routes between production locations such as hotels, studios, and airports. A traveler may separately choose help with a precise address, routing by area, or no personal routing. Trip Slate does not silently enable use of a precise address for an existing profile.
When precise address assistance is enabled, Trip Slate records the traveler's permission version and time before sending address text to Google for U.S. address suggestions and review. Google's review supports the traveler's choice but does not guarantee accuracy, deliverability, or future route conditions. After the traveler chooses a reviewed address, Trip Slate may send that address or its Google place identifier, the relevant airport, and the requested departure time to calculate an estimated drive time. Trip Slate does not include the traveler's name, email, phone number, date of birth, invitation token, or traveler record ID in those requests.
When routing by area is enabled, Trip Slate sends only the city, state, and ZIP area authorized by the traveler. It does not send the street address. Trip Slate sends that area together with the airport and requested departure time. If neither permission is enabled, Trip Slate does not request a personal Google route. Google may use and retain service request data to provide and improve its services under the Google Privacy Policy.
Trip Slate retains address information entered or selected by the traveler when it is needed for production travel, and may retain Google place identifiers. Google suggestion lists, standardized Address Validation content, and live route responses are treated as temporary service content. They are not copied into the Trip Slate database as raw Google responses or route histories. Routing permissions can be withdrawn by editing the traveler profile. Doing so prevents future personal Google routing unless permission is granted again.
Authorized coordinator workbooks may also synchronize with a restricted Google Sheets file. Access to that file is separately controlled through the production Google account and the people the coordinator authorizes.
Storage, security, and choices
Trip Slate uses restricted coordinator access, secure personal traveler links, protected hosting secrets, and other technical controls appropriate to the workflow. No online system can guarantee absolute security. Records are retained for production travel operations and ongoing coordination, and may be archived when complete.
